Note: The job is a remote job and is open to candidates in USA. Somewhere is a US-based electrical company seeking a highly organized, reliable, and proactive professional to support their growing operations. The Operations and Administrative Assistant will manage daily schedules, coordinate jobs, handle client communication, and support bookkeeping tasks while ensuring smooth operations and excellent communication with clients and subcontractors.


Responsibilities

  • Manage daily schedules and calendars for an 8-person field team
  • Coordinate and assign jobs using Jobber CRM
  • Handle client communication (phone, WhatsApp, and email), including service updates, follow-ups, and collections
  • Support bookkeeping tasks: invoicing, payment tracking, and assisting with payroll input in Excel
  • Monitor, track, and follow up on outstanding payments with clients in a professional and respectful manner
  • Perform accurate data entry and maintain organized records across multiple systems
  • Prepare reports and assist with financial and operational tracking
  • Work closely with both the company owner and co-owner to manage priorities
  • Communicate effectively with both clients and subcontractors — not just office-based support
  • Support general admin and operations tasks as needed to keep the business running smoothly

Skills

  • Available to work Sunday through Friday, starting promptly at 7:30-8:00 AM EST (non-negotiable)
  • Strong bookkeeping experience and proven ability to handle invoicing, collections, and payroll input
  • Prior service industry experience (electrical, construction, or related field strongly preferred)
  • Customer service background with experience in direct communication for collections and service coordination
  • Clear, professional English accent with strong verbal and written communication skills
  • Experience working in bilingual/multicultural environments (Spanish-speaking environment a plus, but not mandatory - translation tools and in-house support available)
  • Proficient in Google Suite, Microsoft Excel, Jobber CRM, and QuickBooks Workforce
  • Reliable internet connection and quiet work environment for consistent communication
  • Self-motivated, proactive, and comfortable managing shifting priorities
  • Strong-minded, dependable, and highly organized, with the ability to manage responsibilities six days a week
  • Experience in electrical, construction, or other service-based industries
  • Familiarity with Hispanic/Spanish-speaking clients and colleagues, even if not fluent in Spanish
