This role manages client communications, CRM data, invoicing, and digital content, while assisting with marketing activities, app management, and process documentation.<br></p> <h3><b>Qualifications & Skills</b><br></h3> <ul> <li>Experience in administration, digital marketing, or client support.<br></li> <li>Portfolio showcasing examples of <b>digital content, communication templates, or marketing materials</b> is required<br></li> <li>Proficiency in <b>Microsoft 365</b>, <b>Cliniko</b>, <b>Keap CRM</b>, <b>Xero</b>, <b>Stripe</b>, <b>Canva</b>, and cloud storage tools.<br></li> <li>Strong written and verbal communication skills.<br></li> <li>Excellent attention to detail and organisational skills.<br></li> <li>Comfortable with technology and quick to learn new systems.<br></li> <li>Ability to work independently and handle confidential information responsibly.<br></li> </ul> <b>Desirable</b><br> <ul> <li>Experience supporting digital health, wellness, or service-based platforms.<br></li> <li>Familiarity with NDIS or community service processes.<br></li> <li>Background in marketing coordination or digital communications.<br></li> </ul> <br> <br> <h3>Requirements</h3> <h3><b>Key Responsibilities</b><br></h3> <p><b>Client & Stakeholder Support</b><br></p> <ul> <li>Act as the first point of contact via phone, email, chat, social media, video calls, and app channels.<br></li> <li>Explain and promote mental health programs to potential clients.<br></li> <li>Manage bookings, cancellations, and reschedules through Cliniko CRM.<br></li> <li>Provide pre-appointment assistance and ensure client information is accurate and up to date.<br></li> </ul> <p><b>Administration & Finance</b><br></p> <ul> <li>Maintain client data in Cliniko, Keap, and internal systems.<br></li> <li>Process invoices, payments, refunds, and account adjustments using Xero and Stripe.<br></li> <li>Coordinate with NDIS, the Department of Communities, and other third-party providers.<br></li> <li>Generate and submit reports for management and relevant agencies.<br></li> </ul> <p><b>Digital Marketing & Content</b><br></p> <ul> <li>Create and update communication templates across CRM, email, and SMS platforms.<br></li> <li>Design marketing and visual content using Canva.<br></li> <li>Manage app subscriptions, user access, and upload digital content such as audio, artwork, and thumbnails.<br></li> <li>Support social media, website live chat, and other digital engagement activities.<br></li> <li>Maintain shared drives (Dropbox, OneDrive) for document and media management.<br></li> </ul> <p><b>Technical & App Support</b><br></p> <ul> <li>Provide user support for the mental health app via phone, chat, or video.<br></li> <li>Test app functionality, identify issues, and coordinate with developers for resolution.<br></li> <li>Record and create instructional and training videos using Loom.<br></li> </ul> <p><b>Process Development</b><br></p> <ul> <li>Maintain and update procedures, manuals, and templates for the Concierge Support Officer role.<br></li> <li>Support the onboarding and training of new team members.<br></li> <li>Manage user accounts, settings, and subscriptions across platforms (Microsoft 365, Zoom, Google Meet, etc.).<br></li> </ul> <b>Work Environment & Expectations </b><b><br></b> <br> While this is a work-from-home position, it is important to note that this is a full-time role—not a freelance or flexible-hour arrangement.
